FlowOS provides walk-in queue management, booking, customer and client records, email notifications, analytics, websites, and operations tools for service businesses. This Privacy Policy applies to information collected through FlowOS websites, dashboards, booking pages, kiosk check-ins, public shop websites, email communications, and related services.

When a barber, shop, salon, or service business uses FlowOS, that business may collect and manage information about its clients through FlowOS. FlowOS processes that information to provide the platform and related services.

Depending on how FlowOS is used, we may collect or process the following categories of information:

• Name and contact details, including phone number and email address.
• Appointment and booking details, including selected service, date, time, staff member, notes, and booking status.
• Walk-in check-in details, including queue position, party size, requested service, requested barber or staff member, and timestamps.
• Service history, visit history, returning-client status, barber or staff preferences, and client notes entered by the business.
• Business account information, including shop name, location information, staff users, settings, subscription status, and website settings.
• Payment and billing data handled by payment processors. FlowOS does not store full payment card numbers.
• Analytics, log, and device information such as IP address, browser type, device type, pages visited, timestamps, referral source, and usage activity.

FlowOS uses information to operate, maintain, improve, and protect the platform. This includes using information to:

• Provide booking, walk-in queue, kiosk, client record, analytics, website, and operations features.
• Display client, appointment, queue, service, staff, and location information to authorized business users.
• Send email notices, booking notifications, appointment reminders, queue and check-in updates, service follow-ups, account messages, and support communications.
• Support promotional or retention campaigns only where users have opted in or where the business has a lawful basis to contact them.
• Process payments, manage subscriptions, prevent fraud, troubleshoot issues, and keep the platform secure.
• Measure platform performance, understand feature usage, improve product quality, and develop new features.

FlowOS does not sell personal information.

• With the barber, shop, salon, or service business that uses FlowOS to manage its own clients, bookings, queue, website, and operations.
• With authorized account users, staff, or administrators based on the permissions configured by the business.
• With service providers that help us operate FlowOS, such as hosting, database, payment, email, analytics, storage, security, and support providers.
• When required by law, legal process, compliance obligations, safety needs, fraud prevention, or to protect FlowOS, our users, or others.
• In connection with a business transaction such as a merger, acquisition, financing, or sale of assets, subject to appropriate protections.

FlowOS may use third-party services to provide parts of the platform, including payment processing, email delivery, hosting, database, storage, analytics, content delivery, and infrastructure services. These providers process information on our behalf or as necessary to provide their services. Payment information is handled by payment processors according to their own terms and privacy practices.

We keep information for as long as needed to provide FlowOS, comply with legal obligations, resolve disputes, enforce agreements, maintain security, support business records, and operate the platform. Businesses using FlowOS may control certain client records and may request deletion or export where available and appropriate.

We use reasonable administrative, technical, and organizational safeguards designed to protect information. No system can be guaranteed to be completely secure, but we work to protect FlowOS accounts, customer data, and business records from unauthorized access, misuse, and loss.

FlowOS is not directed to children under 13. If a parent or guardian believes a child provided personal information through FlowOS without appropriate consent, please contact us so we can review and respond.

We may update this Privacy Policy from time to time. The updated version will be posted on this page with a new last updated date. Continued use of FlowOS after an update means the updated policy applies going forward.
